Custom Operations System

One system for the workflow that runs your business.

We build custom operations software around how your team already works — starting with an AI Workflow Blueprint, then delivering in fixed-price phases you can use as you go. The engineering is how we deliver it; the workflow is what we sell.

What we build

A Custom Operations System, shaped to your workflow.

Not another SaaS login, and not a rebuild of everything you use. One system at the centre of the work that is genuinely yours — connected to the tools you keep.

  • Orders

Captured once — from email, phone or a portal — into one record everyone works from.

  • Customers

Accounts, pricing, terms and history in one place instead of four.

  • Purchasing & suppliers

Shortfalls become draft purchase orders, approved by a person before they go.

  • Inventory

Stock that updates with the work, so availability is an answer, not a question.

  • Dashboard

What is late, what is waiting, and what needs a decision — without asking around.

  • Email & AI automation

Bounded, repetitive steps handled automatically, with approvals where mistakes are expensive.

We work with businesses in the UK, Australia and New Zealand. Built for operational SMEs of roughly 10–100 people. Starting with wholesale & distribution, hospitality operations and operational service businesses.

AI inside the workflow

Custom AI automation for the steps nobody should do by hand.

Every Custom Operations System can automate business processes with AI where the work is bounded, repetitive and low-judgement — chasing overdue approvals, entering data from emailed orders, flagging stock shortfalls, or sending status updates your team currently types out by hand.

This is not a separate product or an add-on. AI operations software is a capability built into the same system your team already works in, with human approvals wherever a mistake would be expensive. The Blueprint identifies exactly which steps benefit from automation and which should stay with a person.

How an engagement runs

Blueprint first. Then phases, not a leap.

  1. Step 01

    AI Workflow Blueprint

    £300–£600

A 60–90 minute discovery session, then a written Blueprint: workflow map, bottlenecks, proposed system, basic prototype, estimated savings, implementation phases and a fixed-price proposal.

Credited toward development if you proceed.

  2. Step 02

    Phased build

    Typically £3,000–£10,000 to start

The part of the workflow that removes the most handoffs comes first. Each phase is fixed-price and gives you something your team can use.

No £30k leap from a cold start.

  3. Step 03

    Launch & Care

    Optional

Launched on your infrastructure, documented, and owned by you. Optional Care plans keep it hosted, monitored and improving.

You own the code either way.

How we deliver it

The engineering underneath.

Proven on the live platforms we run ourselves. You do not need to buy any of this separately — it is what goes into every system we build.

01

Workflow & product engineering

From a mapped workflow to a system with real users on it.

We design the data model and architecture around how work actually moves through your business, then build and ship it in phases. We stay on afterwards, because the first month in production teaches you more than the three before it.

  • Workflow discovery and technical scoping
  • Architecture and data modelling
  • Build, test, launch — phase by phase
  • Iteration once real users arrive
02

Web & mobile interfaces

The screens your team works in, and everything behind them.

Web applications for the office, mobile apps for the warehouse floor or the field, and the APIs they run on. Built for maintainability — clear structure, documented decisions, no clever tricks that only make sense to the person who wrote them.

  • Web apps (React, Next.js)
  • Mobile apps (Flutter — iOS + Android)
  • REST APIs and backends (NestJS, Node)
  • Postgres, Prisma, AWS
03

Systems integration

Connecting the tools you keep, so information is entered once.

A Custom Operations System should not replace your accounting package — it should feed it. Most projects fail at the seams between systems, and we have spent years on those seams: certifying against partner APIs, handling their retries and their bad data.

  • Accounting, email and existing business tools
  • Payment gateways and PCI-compliant card handling
  • Channel managers and third-party partner APIs
  • EPOS and hardware integrations
04

Hosting & Care

Someone answers when it breaks.

We run infrastructure for our own live platforms, so we run yours the same way: monitored, backed up, and with a person who picks up. Deployments are automated and reversible. Care is optional — you have the code and the documentation either way.

  • AWS infrastructure and deployment pipelines
  • Monitoring, backups and rollback
  • Security patching and dependency upkeep
  • Ongoing changes as the business grows
